The Executive Assistant provides assistance directly to the General Manager and other members of the Leadership Team and is trusted with complex duties and sensitive information. The Executive Assistant is responsible for various administrative and organizational duties including ensuring a smooth-running office, scheduling/organizing meetings, and company events, compiling and analyzing information and producing reports and presentations for the Leadership Team.

  • Handles important communication including e-mail requests and correspondence, drafting letters and documents, preparing leadership presentations, etc.
  • Act as a liaison and provide support to the Leadership Arrange and handle all logistics for LT meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes. Follows up on action points.
  • Plans and organizes company events and employee milestones such as appreciation events/activities, internal meetings,
  • Maintains appointment schedule by planning and scheduling meetings, conferences, teleconferences, and
  • Provides historical reference by developing and utilizing filing and retrieval systems for important documents, reports, meeting notes, emails, letters,
  • Prepares reports by collecting and analyzing information and compiles data and information in a summarized, well-structured/written
  • Assists with a variety of office projects and processes, including strategic initiatives
  • Completes special projects by assigning work, collaborating with others, and following up on results
  • Provides strategic counsel and personal insights and ideas on company
  • Maintains a high degree of discretion and confidentiality
  • Maintains an effectively functioning office including ordering office supplies, maintaining organized spaces, evaluating new office products & ideas, coordinating with outside vendors or suppliers
  • Provides comprehensive administrative support services to the General Manager that ensures outstanding communication and responsiveness
  • Completes expense reports

Skills Required


  • Strong Microsoft 365 Skills - Word, Excel, Outlook,
  • High level of professionalism, confidentiality, and maturity; ability to quickly adapt to varied personality types
  • Excellent interpersonal, verbal and written communication skills. Ability to communicate with all employees across the company effectively.
  • Exceptional organizational skills including the ability to plan effectively, prioritize a variety of tasks, and meet deadlines.
  • Special attention to detail and accuracy is essential for high visibility reports, presentations, correspondence,
  • Ability to work in fast paced environment to achieve goals while under time

Experience Requirements

  • 3+ years of Administrative/Executive Assistant experience

Education Requirements

  • Completion of a university undergraduate degree
