Bilingual Financial Administrative Assistant – (Mobile)

FULL TIME, PERMANENT

Location: (Hybrid role – 2 days a week in office) – Toronto

Hours: Mon-Sat 8am-4pm (40 hours/wk.)

Salary:  Up to $61K + Annual Bonus + Paid overtime

Job Summary:

Under the direction of the Supervisor, Transition Services, the successful candidate is responsible for providing support and acting as a liaison between the home office and new Financial Advisors (FAs) joining the company’s branch offices.

Your responsibilities will be wide-ranging and include the requirement to educate new Financial Advisor/Agents and their staff on company policies and procedures. Additionally, coordinate and distribute information regarding IIROC registration and insurance. As the transition progresses, you will facilitate the office set up including IT, maintain ongoing communication between the Financial Advisor/Agent and company departments and troubleshoot any transition issues.

Responsibilities

  • Assist the National Sales team in transitioning Financial Advisors/Agents in Canada to the company
  • Maintain an ongoing dialogue with transitioning Financial Advisors/Agents to the company
  • Understand and educate transitioning Financial Advisors/Agents and their support staff on the policies and procedures relating to operations, compliance, marketing, technology, investment products and general business issues
  • Be responsible for the maintenance of a comprehensive process from the initial training to the ongoing support of new Advisors
  • Arrange to provide branches with preliminary and ongoing operational training
  • Customize transition requirements to the needs of the Financial Advisors/Agents
  • Provide onsite branch support as needed
  • Coordinate approval and printing process for stationery and business cards
  • Act as the primary point of contact for all assigned transitions
  • Manage weekly transition calls/meetings with Financial Advisors/Agents and their teams
  • Maintain transition checklist and communicate progress of transition to Supervisor, Transition Services, and
  • Participate in internal projects.

Skills Required

  • Fluently bilingual (English/French) – Spoken and Written
  • Microsoft Office with a willingness and ability to learn new applications
  • Work within deadlines in a high-volume and demanding environment while maintaining a high level of service and an imperative attention to detail
  • Demonstrate advanced face-to-face, email, videoconferencing, and telephone etiquette and relationship management skills
  • Demonstrate excellent work commitment and willingness to accept additional responsibilities
  • Demonstrate a professional manner to establish and maintain effective working relationships at all levels of the organization

Qualifications

  • Understanding of fundamental investment concepts, practices, and procedures used in the securities industry
  • Travel will be required - up to 75% of the time (within Canada)

Experience Requirements

  • 3 or more years’ experience in the Investment Brokerage or Financial Services Industry

Education Requirements

  • High school graduate. Post-secondary education an asset
